Challenge: How to digitize archives and develop features of the Electronic Service Note application

Jasa Marga is a State-Owned Enterprise in Indonesia which is engaged in toll road service providers. We are developing the Jasa Marga Archive Digitization application which is a feature enhancement of the NDE (Electronic Service Note) application. We want to optimally implement the functions that exist in the Archive Digitization application solution to support the document management business process within the Jasa Marga environment. We use the best practice business process approach contained in the Archive Digitization application solution to improve the efficiency and effectiveness of business processes, especially the digital document archiving process within the Jasa Marga environment. We strive to standardize the document management cycle from the document being created to its destruction, including building its culture within the Jasa Marga environment.

Solution: Developing a series of an efficient and user-friendly archive digitization

Considering the pattern of needs and organizational culture at Jasa Marga, we have developed 3 excellent features that can help Jasa Marga get more efficient archive digitization. We developed the features of Official Manuscript Creation, Official Manuscript Archiving, and Official Manuscript Disposition. We try to make it in accordance with the terms of reference (TOR) from Jasa Marga as our client to create an archiving pattern that is suitable with the actual conditions of human resources at Jasa Marga.

Result: revamping strategy and archive digitization was successful so that work can be done more efficiently and easily

We revamped the NDE, which is an application related to official documents owned by Jasa Marga. We have developed several new features (such as Official Manuscript Creation, Official Manuscript Archiving, Official Manuscript Disposition) that allow it to cover all the needs of Jasa Marga's user team. After revamping, the Jasa Marga team changed the name of the application to Archive Digitization. All Jasa Marga users are required to use Archive digitization, because the user's work is covered by all the features in Archive Digitization.
